PeopleSafe® Privacy Policy

When we say “PeopleSafe”, we”, “our” or “us”, we mean PeopleSafe Limited.

PeopleSafe provides online Health and Safety software services, designed to help you manage your business’ Health and Safety needs.

We respect your privacy and are committed to safeguarding your personal information by only using it for the purposes permitted by the Privacy Act 2020 and outlined in this Privacy Policy.  

By using our services you agree to the practices described in this Privacy Policy.


1. What this Policy covers

Our Privacy Policy lets you know what we collect, how we collect, and how we hold and use your personal information as a Subscriber. When we say “personal information” we mean information that can personally identify you. 

This policy applies to the data we collect across all websites and applications that we own and operate, and all services we provide.  This includes our online and mobile health and safety products, and any other applications or services that we may offer (e.g. events such as Training or Podcasts).  For the purposes of this policy, we’ll call them ‘services’.

When you create a subscription to use our services, you give us identifying information such as your legal name, trading name, email address, address and phone number. You also give us your billing details which includes your billing address and billing contact details.  This is for the purposes of communicating with you, account history, invoicing and providing support for your to manage your subscription.

2. What this policy doesn’t cover  

2.1 - Credit Card Information
We never record or store credit card information.  These details are submitted directly to our payment processor  Windcave Ltd.   This information is covered by Windcave‘s privacy policy

2.2 - Data you collect about others
This Policy doesn’t apply to data that you as the subscriber, or the people you invite as users, process using our services.  In such cases the data is controlled by the subscriber and is processed by PeopleSafe, acting as a service provider only.

If you process any personal data about other people using our services, you should make sure you are permitted to do so before you process it.

Without PeopleSafe taking any further steps needed by applicable data protection or privacy laws, PeopleSafe may collect, use and disclose such information for the purposes described in this policy.    

Our responsibility is limited to the protection of personal data about the subscriber that is obtained by PeopleSafe to create and maintain your PeopleSafe subscription.

3. How Data is collected

3.1 - Information you give to us directly  
We collect personal information that you input into the PeopleSafe system when you create a subscription with us.  This information may include: the name, address, phone numbers, e-mail address, date of birth, and any other details of the subscriber.

Information about Health and Safety matters which you choose to enter or import into the PeopleSafe system.  This may include things like licences, training courses, certifications and other information that is held to allow your business to comply with its obligations under health and safety legislation and regulations.

3.2 - Information collected Automatically
We may automatically collect information when you visit our services, about your computer hardware and software. This information may include: your IP address, browser type, domain names, access times and referring website addresses. This information is used by us to operate and maintain the quality of the PeopleSafe system and to provide general statistical data on the use of the PeopleSafe software.

3.3 - From Third Parties 
Although we collect most personal data from you directly or automatically, sometimes we might collect it from other sources. For example, from trusted third parties and service providers that help us deliver our services (such as providers of email, marketing, analytics, financial, credit and payment services) and from social media platforms. 

4. How your Data is used

We use your data to deliver our services – To make navigation through PeopleSafe easy, to manage your account in the PeopleSafe system as well as the administration and any other services that you receive from the PeopleSafe system.

We use it to communicate with you about our services -  It may also include assisting with the resolution of software support issues or other issues relating to our services, whether by email or otherwise.

We may also use and store data and information regarding health and safety matters which you choose to enter or import into the PeopleSafe system for analysis.

To provide users of PeopleSafe in your organisation information via our services.  This is provided to those who have access rights according to their role within the organisation.   

5. How your Data may be shared

 Subject to the paragraph below, we will not disclose, sell, or otherwise make available to any unauthorised third party, any personal information provided by you without your permission.

There may be times when we need to share your personal information, without notice:

(a)       To obey/comply with or follow any law, or order of any Court or Tribunal or Tribunal of competent jurisdiction.

(b)       To protect and defend our legal rights and property;

(c)        To act in emergency situations and protect the personal safety of our staff, customers, users, or the public; and

(d)         In connection with any proposed purchase, merger or acquisition of any part of our business.

This Privacy Policy does not restrict PeopleSafe from aggregating and using information imported in to the PeopleSafe system as long as it does not identify specific people, their contact details or identify the organisation.

You have the right to access and correct your personal information in line with the Privacy Act 2020.  You can update your personal details yourself via the App.  If you need support to do this, the PeopleSafe coordinator for your organisation can help.

6. How your Data is protected

We understand how important it is to secure and protect your data and information. We do everything we can to take reasonable steps to secure your personal information from unauthorised access, use or disclosure. 

The information you enter or import to PeopleSafe is stored securely by us and you require a username and password to access this information.  It is up to you to keep your password safe.  For added security we recommend at a minimum you enforce multi- factor authentication for all coordinators in your subscription.

We will maintain all personal information and data in controlled environments that are secured against unauthorised access.  Data transferred between you and PeopleSafe’s servers is encrypted.  However, the internet is not in itself a secure environment, and we recommend that you should only enter or import data within a secure environment.

7. Data Retention  

We'll retain your personal data for as long as we've a relationship with you and for a period afterwards where we have an ongoing business or legal need to keep it. For example, to comply with legal, tax, or accounting requirements. After that, we'll make sure it’s deleted or anonymised, in a secure manner.

8. Your Rights

You have the right to:

  • Request access to the personal information that we hold about you.

  • Request correction of any inaccurate or incomplete personal information we hold about you.

  • Request deletion of your personal information that we hold about you, subject to certain legal obligations.

  • Opt-out of receiving marketing communications from us.

9. Important Information

We reserve the right to change this Privacy Policy whenever we see the need to do so. Any changes made to this Privacy Policy shall be effective from the date it is posted on our website.

The use of the PeopleSafe system is subject to all terms and conditions included in the PeopleSafe Terms of Use <<Link>> this Privacy Policy should be read together with these. If there is conflict between the Terms of Use, and this Privacy Policy, the provisions included in the Terms of Use shall take effect.
